School Transfer Certificate Application for Parents: Request Letter and Document Checklist

Use a parent-ready request letter, private tracker and document checklist without assuming that one school, board or transfer process applies everywhere.

Schylva source, editorial and product-boundary review

Short answer

  1. Ask the receiving school which exact document it needs, for which class and session, and how it should be handed over.
  2. Check the issuing school's current form or letter process and use only the official submission channel it identifies.
  3. Prepare the minimum requested information, save the acknowledgement and record the school-stated next step privately.
  4. Check the issued certificate against records you already hold, ask the issuer to correct discrepancies, then retain the receiving school's acknowledgement.

The receiving school must name the exact record it needs, while the issuing school controls its request process. Formats, attachments, fees and processing times vary. The official examples on this page apply only in their stated CBSE, KVS or CISCE contexts, and receiving or handing over a certificate does not confirm admission.

Start with the destination

Confirm the right document before writing the request.

The receiving school is the new school; the issuing school is the school the child is leaving.

Ask the receiving school for the exact document name, class and academic session, accepted handoff route and any deadline. Then check the issuing school's current procedure.

These working distinctions help you ask the right question. They are not universal definitions.

Confirm locally

Similar names do not prove that the documents are interchangeable.

If the two schools use different terms, ask each one what it will issue or accept before preparing the request.

Request, track and check

Use the complete TC Request Pack.

Print these static aids or copy them into a private document; do not enter a child's information into this webpage.

The workflow, letter, checklist and tracker below are Schylva editorial aids, not an official school or board form. Follow both schools' current instructions.

Official channel

Verify the destination before sharing information.

An official channel is a school office, portal, email address or other contact named on the school's current website or written instructions. A search result or forwarded message is not enough to verify a destination.

Follow the six-step workflow

  1. Confirm the destination requirement

Record the receiving school, class, session, exact document and accepted handoff route.

  2. Check the issuing-school process

Find its current form or letter route, requested details, official submission channel and collection or delivery method.

  3. Prepare the minimum request

Use the prescribed form when one exists; otherwise adapt the letter below without unnecessary personal information.

  4. Submit and save the acknowledgement

Keep the reference, school-stated expected date and requested next step privately.

  5. Check and correct the issued document

Compare it with records you already hold and ask the issuing school to resolve any discrepancy. Never alter it yourself.

  6. Hand it to the receiving school

Use the channel it specifies and retain its acknowledgement or next-action status. Receipt does not itself confirm admission.

Part 1: Adapt the parent request letter

Static parent letter

Transfer Certificate request letter

Use the issuing school's prescribed form when it provides one. If it accepts a letter, copy this concise starting point into a private document and adapt only the fields it asks for.

Date: [DD Month YYYY] To The Principal / Head of School [Issuing school and campus] Subject: Request for Transfer Certificate for [student name], [class and section] Dear Principal / Head of School, I am the parent or guardian of the student named above. Please issue the Transfer Certificate under the school's current procedure. Student admission number: [include only if requested] [Keep only the applicable date line if the school requests it.] Last day attended: [DD Month YYYY] Proposed withdrawal date: [DD Month YYYY] If another form or step is required, please let me know. Please also confirm the expected issue date. Please acknowledge this request and confirm how the certificate can be securely collected or delivered. Please reply through the school portal, school office, or parent email address or phone number already recorded by the school, as applicable. Thank you. Yours sincerely, Parent or guardian name: [name] Signature: [complete only if required on the private submitted copy]

Keep the reason brief and optional unless the school requires it. Do not add medical, disciplinary, financial or detailed family circumstances merely to make the letter sound formal.

Part 2: Check before submission

  • The receiving school confirmed the exact document it needs and how to submit it.
  • The issuing school and campus are correct.
  • The school accepts a letter, or I am using its prescribed form.
  • The student's name and current or last-enrolled class and section match the issuing school's record.
  • The admission number is included only if the school requests it.
  • The applicable last-attendance or proposed-withdrawal date is accurate and clearly labelled.
  • I attached only the documents requested in the school's current instructions.
  • The request contains no unnecessary family, health, disciplinary, credential or payment information.
  • I verified the submission destination through the school's current website or written instructions.
  • I confirmed any applicable fee or dues step with the school and know how to obtain a receipt.
  • I know how the school will acknowledge the request.
  • I asked for the expected issue date and collection or delivery method.

This checklist does not create a national requirement or certify that the request is complete. Ask the issuing school about anything unclear.

Part 3: Track the request and handoff

Print this table or copy it into a private document. It is not an online form, and Schylva does not receive completed entries.

What an acknowledgement proves

Receipt is not the same as completion or admission.

An issuing-school acknowledgement shows that the named channel received the request; it does not prove issuance. A receiving-school acknowledgement shows receipt or a recorded next action; it does not prove admission.

Part 4: Check the issued certificate

Compare the document with private records you already hold. This is an editorial check, not a universal certificate format.

  • The document title or type matches what the receiving school requested.
  • Student name and spelling.
  • Date of birth, if shown.
  • Issuing school and campus identity.
  • Admission number or another school identifier, if present.
  • Class and academic session last studied.
  • Attendance, result or promotion wording, if present.
  • Date of leaving and date of issue, if present.
  • Certificate or serial number, if present.
  • Authorised signature, school seal or official verification method required in the applicable process.
  • Duplicate marking, if a duplicate was issued and the applicable procedure requires it.

Do not alter the record

Ask the issuing school to correct a discrepancy.

Preserve the document as received and use only a verified school or authority channel to access, save, correct or share it.

Use the verified route

If the certificate is delayed, incorrect or lost, return to the issuer.

The official sources cited here do not establish one universal deadline, escalation route or remedy.

If the request is delayed

Check the acknowledgement and school-stated expected date. Follow up through the same verified channel, quote only the reference needed to locate the request and ask which step remains. Tell the receiving school the document is pending and ask what its current process permits.

If a detail is incorrect

Keep the certificate as received, compare the disputed field with the private supporting record and ask the issuing school for its correction procedure. Send evidence only through its verified channel.

If the original is lost

Ask the issuing school whether it provides a duplicate, what evidence it requires and how the duplicate will be marked. CBSE's admission page describes a marked duplicate only within its own context when the school head is satisfied that the original was lost.

If the schools disagree

Save both instructions, dates and contacts. Ask each school to identify the current board, authority or school rule it is applying. Obtaining a TC does not decide admission eligibility or class placement.

Official examples with limits

Check board-specific rules without turning them into universal advice.

Each note below is bounded by the source's own board, institution, class, examination year or transfer route.

CBSE Transfer Certificates and countersignature

The CBSE admission page places an authenticated copy of the Transfer Certificate from the last school within the admission process it describes. It also discusses an up-to-date certificate for a leaving pupil and a marked duplicate when the original is lost and the school head is satisfied.

That undated page contains older countersignature wording. The newer CBSE circular dated 31 October 2025 says countersigning has been discontinued under CBSE's directions and reiterates a school-website upload direction for the CBSE-affiliated institutions it addresses. Ask the schools which current rule applies when another board or authority is involved.

CBSE migration certificates

CBSE's 4 September 2024 notification lists migration certificates for Class X students who wish to obtain one and for all Class XII students who passed. It describes changed hard-copy and digital delivery from the 2025 examinations onward. This is a separate board document, not a replacement for the school's TC process.

KVS admission without a TC

The KVS Admission Guidelines 2026–27 and onwards apply to Kendriya Vidyalayas except KVs abroad and Dr Rajendra Prasad Kendriya Vidyalaya, President Estate, New Delhi. Within that scope, admission up to Class VIII may be granted without a school TC when the child is otherwise eligible and the birth certificate was issued by a government body. This is not a general pending-TC rule.

CISCE transfer-record checks

The CISCE ICSE Regulations for Examination Year 2028 conditionally list an attested copy of a previously submitted TC for specified post-result correction or change requests. They separately say a TC should not carry “Promoted to Class X” if the student has not met the stated Class IX-to-X promotion criteria. Checking and privately retaining the issued record is Schylva editorial advice, not a CISCE checklist.

Privacy boundary

Protect child and family information throughout the request.

A TC and its supporting records may expose a child's identity, school history, address or family details.

Do not enter real records here

Complete the letter and tracker privately.

Do not put student data, credentials, payment details, signatures or document images into this webpage, an open chat, a public template or a shared screenshot. Share only what a verified school or authority channel requests.

If a shared device is unavoidable, do not save the completed request in a shared folder, use autofill for sensitive fields or leave the account signed in. Move any necessary copy to an approved private location and follow the device owner's rules for removing local downloads.

If a school offers an official verification page, use it only for a record you are authorised to access. Do not access, save or share another student's record.

Final boundary check

Confirm the remaining process with the issuing and receiving schools.

Use this guide to organise the request; the schools and applicable authority control the real process.

The issuing and receiving schools must confirm the applicable form, attachments, fee or dues requirement, timeline, correction route, collection or delivery method and admission decision.

This guide provides

  • A source-first six-step request and handoff sequence
  • A static adaptable parent letter
  • Blank private tracking and document-checking aids

The schools or authority decide

  • Which form, attachments, fees or dues step applies
  • The processing, correction and delivery route
  • Eligibility, class placement and admission outcome

Schylva does not

  • Accept or submit a TC request
  • Issue, sign, verify, upload, store or correct certificates
  • Track school clearance or guarantee admission

Frequently asked questions

School Transfer Certificate questions parents often ask.

Use the current process for the exact issuing and receiving schools; the answers below do not create one universal rule.

How should a parent write a Transfer Certificate application?

Write a short letter to the principal requesting the Transfer Certificate. Include the student's name, class and section, and add the admission number or relevant withdrawal date only if the school needs them. Use the school's prescribed form when required and ask how it will acknowledge the request.

Is one TC request format valid for every school?

No. The letter here is an adaptable editorial template, but a school may require its own form, attachments, signatures or submission channel. Check its current procedure first.

Which documents should I attach to a TC request?

Attach only the documents named in the issuing school's current instructions. There is no universal attachment list in the official sources cited here. If the instructions name none, attach nothing unless the school asks through a verified channel.

How long does a school take to issue a Transfer Certificate?

There is no universal processing time in the official sources cited here. Ask the issuing school for its expected date, record it with the acknowledgement and use its verified follow-up route if the request remains pending.

Does a school charge a fee or require dues to be cleared?

It depends on the school and applicable rules. The cited CBSE admission page links issuance within its own process to payment of dues, but it does not establish a fee or dues rule for every school. Ask the issuing school and retain a receipt for any payment.

Are a Transfer Certificate and School Leaving Certificate the same?

Not necessarily. Some instructions use the terms together, but not every school or authority treats them as identical. Ask the receiving school which document it needs and the issuing school which record it provides. See Source S1.

Is a Transfer Certificate the same as a migration certificate?

No. In the cited CBSE sources, a Transfer Certificate comes from the last school, while the migration certificate is a separate CBSE document for specified Class X and XII circumstances. Confirm which record the receiving institution requires. See Sources S1 and S3.

Does a CBSE Transfer Certificate need countersignature?

For CBSE-affiliated institutions covered by the 31 October 2025 circular, CBSE says countersigning has been discontinued. If another board or authority is involved, ask the schools which current instruction applies.

Can admission proceed while a Transfer Certificate is pending?

Sometimes, but only if the receiving institution's rules allow it. The cited KVS rule is a limited admission-without-TC provision up to Class VIII under stated conditions; it is not a general pending-TC rule.

What should I do if the certificate is incorrect?

Do not edit the certificate. Preserve it as received, identify the discrepancy and ask the issuing school for its correction procedure. Send supporting evidence only through that verified channel.

What should I do if the original certificate is lost?

Ask the issuing school about its duplicate procedure, required evidence and duplicate marking. Do not assume that another school's or board's procedure applies. The cited CBSE page describes a marked duplicate only within its own context.

Can I request or receive the certificate online?

Yes, but only when the issuing school provides an official online process. Reach it through the school's current website or written instructions, verify the destination and keep the acknowledgement private. This Schylva guide does not accept requests, uploads or certificate data.

Sources and correction note

Read the exact official sources behind each bounded example.

These sources were checked on 14 September 2026 at 14:47 IST. Their board, institution, class, examination-year and transfer-route limits control. Recheck the relevant official index and school guidance before acting.
  1. Central Board of Secondary Education

Direct Admission page Undated. Applies only to the CBSE admission and withdrawal situations described on the page. It contains older countersignature wording, so recheck the current CBSE circular index and let a newer direct circular control that point.
  2. Central Board of Secondary Education

Reminder of the practice of countersigning of Transfer Certificates and mandatory uploading of scanned copy of TC Circular CBSE/Coord/Countersignature/2025, dated 31 October 2025. Applies to CBSE-affiliated institutions and the CBSE process it describes. Recheck the current circular index for a later correction or replacement.
  3. Central Board of Secondary Education

Doing away with the hard copy of the Migration Certificate for Classes X and XII Dated 4 September 2024. Applies to the CBSE Class X and XII migration-certificate process described from the 2025 examinations onward, not a school's TC request. Recheck current CBSE instructions before relying on its delivery route.
  4. Kendriya Vidyalaya Sangathan

KVS Admission Guidelines 2026-27 and onwards Dated 18 March 2026. Applies from academic session 2026–27 onward while this edition remains current, excluding KVs abroad and Dr Rajendra Prasad Kendriya Vidyalaya, President Estate, New Delhi, and subject to its route conditions.
  5. Council for the Indian School Certificate Examinations

ICSE Regulations for Examination Year 2028 The cover identifies January 2026 but no exact day, so the exact source date is undated. Applies only to the Examination Year 2028 promotion statement and specified post-result correction or change document lists, not a general transfer-admission procedure.
