To write a half-day leave application for your child, state the child's name and class, the date, the exact time they need to leave or arrive, and a brief truthful reason. Use this version when the request is for your child to leave before the normal end of the school day. Address it to the person your school specifies, such as the class teacher or principal.

If the school requires a signed diary entry or its own form, use that instead. You can adapt the letter's wording to the space provided.

Be precise about timing

Say whether your child will leave early or arrive late

“Half day” alone does not tell the recipient which part of the day your child would miss. Use the actual time and date. These are writing suggestions, not a school's definition of attendance.

For a morning appointment followed by a proposed late arrival, replace the main sentence in the letter with:

Use that reason only when it is true. Do not write “after lunch” unless that wording is clear to the school, and do not assume the school permits leaving and returning on the same day.

Check the email address against the school's current website, handbook or official parent communication. The sample deliberately omits diagnoses, reports and appointment documents. Ask the school what, if anything, it needs rather than adding them automatically.

Use a short message only if the school accepts requests through that channel. A message may need to be followed by a form, diary entry or another step specified by the school.

For late arrival, change “leave at” to “arrive at” and ask about arrival instructions. Do not send the request to a class group unless the school specifically directs you there; ask for its appropriate private channel instead.

Check your school's process before sending

As one school-specific example, Carmel Public School, Gajraula, generally prohibits half-day leave and retains its own approval decision. This is not a rule for every school.

Before using a sample, check the current handbook or official parent notice for:

  • Who should receive the request.
  • Which channel or form the school accepts.
  • Whether the requested arrangement is available.
  • How the school communicates permission and any next steps.

If the instructions do not answer your question, ask the school office. An online template cannot settle a conflict with the school's current instructions. Do not describe the request as urgent or an emergency simply to strengthen it.

Permission, not delivery

Confirm the response and collection arrangements

Treat sent, received and approved as different things. A delivery indicator, read receipt or acknowledgement does not tell you that the school has agreed to the requested arrangement.

If approval is unclear, ask: “Has the request for [Date of leave] at [Time] been approved, and what should I do next?” Keep the response with your private request notes.

For an early departure, ask the school about the collection point, who it permits to collect the child and any check it requires. For a late arrival, ask where to report. Follow the school's process; do not assume that writing a collector's name in a request means the school has confirmed that arrangement.

If a lesson or assessment would be missed, ask the teacher what needs attention. Do not assume approval promises a make-up class, another assessment or a particular attendance entry. This guide does not determine those outcomes.

What reason should I write in a half-day leave application?

Use the real reason briefly, such as a scheduled appointment when that is accurate. Do not invent an excuse or add sensitive detail to make the request more persuasive. Ask the school if it requires a more specific explanation or supporting information.

Should I address the principal or the class teacher?

Use the recipient named in your school's current instructions. The sample works with either role, but it does not establish who can approve leave. If the recipient is unclear, ask the school office before sending the request.

Can I send the request by email or WhatsApp?

Only use a channel the school accepts for this purpose. The email and message examples are alternative wording formats, not proof that either channel is available or sufficient at your school. Complete any additional step the school specifies.

What time counts as half-day leave?

This guide does not set a universal cut-off or attendance rule. State your requested arrival or departure time and ask the school how it handles that arrangement. Do not assume that half day always means before or after lunch.

What if the school has not replied?

Follow up through the school's published contact route and ask for confirmation. Do not treat silence or a read receipt as approval. If the matter is urgent, contact the school directly rather than depending on an unanswered message.

Can I use these examples after the absence has already happened?

Change the wording to explain the actual date, time and reason for the absence, and follow the school's absence-reporting process. Do not backdate the request or present it as advance permission. These samples do not guarantee retrospective approval.
